By making a booking, the customer confirms that they have read, understood, and accepted these terms. If anything in these terms is unclear before a booking is confirmed, the customer should ask for clarification before the service begins.

These terms apply to all carpet cleaning services supplied by us, whether the booking is made by phone, email, online request, or any other accepted method. They are intended to create a fair and transparent basis for service delivery. Nothing in these terms affects the customer’s statutory rights under UK law. Any variation to these terms must be agreed in writing by both parties.

Booking Process

All bookings are subject to availability and acceptance by Forestdale Carpet Cleaners. A booking request is not a confirmed appointment until we have acknowledged it and, where applicable, received any required deposit or prepayment. We may ask for details about the size of the area to be cleaned, the type of fibres or fabric, the level of soiling, access arrangements, parking constraints, and any known issues such as stains, pet damage, or prior treatments. This information helps us assess suitability and allocate the correct time and equipment.

Customers must ensure that all information supplied at the time of booking is accurate and complete. If material information changes before the appointment, including access issues, water supply limitations, or the presence of delicate materials, the customer must inform us as soon as possible. Failure to provide accurate information may affect the quality of the work, the time required, or the final price. In some cases, it may also mean we are unable to complete the service safely or effectively.

We may refuse or cancel a booking if the premises are unsuitable, if the requested work is outside our scope, or if the customer has previously failed to pay on time or comply with these terms. Where we need to reschedule due to weather, equipment failure, staff illness, safety concerns, or other operational reasons, we will make reasonable efforts to offer an alternative appointment. Although we aim to keep delays to a minimum, timing estimates are approximate unless expressly stated otherwise.

Service Standards and Customer Responsibilities

However, results can vary depending on pile type, age, previous wear, fibre composition, staining history, and environmental conditions. Some marks, odours, or discolouration may not be fully removable. The customer acknowledges that no cleaning service can guarantee complete stain removal or restoration of items to a new condition.

Before work begins, the customer must ensure that the area is reasonably clear of personal belongings, fragile items, and anything that may hinder safe access. We may move light furniture at our discretion, but we are not obliged to move heavy, fixed, valuable, or delicate items unless agreed in advance. Customers should also ensure that pets are secured and that there is safe access to the property, electricity, and water where needed. If we cannot start or complete the work because the area is not prepared, a wasted attendance charge or additional fee may apply.

The customer is responsible for informing us about any pre-existing damage, weak seams, loose fittings, hidden hazards, or sensitive materials before the service starts. We may decline to clean items that are unsafe or unsuitable. Where specialist treatment is requested, such as odour neutralisation, sanitising, or spot treatment, it will only be included if expressly agreed. Any advice we provide about drying times, ventilation, or aftercare should be followed in order to reduce the risk of re-soiling or damage.

Prices, Estimates and Payments

Prices may be provided as fixed quotes, room-based charges, area-based charges, or estimates depending on the information supplied at the time of booking. Any quote is based on the details given by the customer and assumes normal access and standard conditions. If the actual work differs materially from the information provided, we may adjust the price to reflect the additional time, labour, materials, or specialist equipment required. Additional charges may apply for severe staining, heavy contamination, restricted access, parking difficulties, urgent appointments, or extra services agreed on site.

Unless otherwise stated, payment is due on completion of the work or in accordance with the invoice terms agreed at the time of booking. We may request a deposit or full prepayment for certain appointments, particularly where specialist materials are ordered, large-scale work is involved, or the booking is made at short notice. Payment methods accepted will be confirmed at the point of booking or invoice issue. If payment is not received when due, we may charge reasonable late-payment costs and interest to the extent permitted by law.

Any discount, promotion, or special offer is valid only for the conditions and period stated. Offers cannot normally be combined unless we agree otherwise. Where a quotation has been accepted but the customer later changes the scope of work, we may revise the price before proceeding. We will always seek to explain any adjustment clearly. In the event of a pricing dispute, the undisputed portion of the invoice should still be paid by the due date.

Cancellations, Rescheduling and Access Issues

Customers may cancel or reschedule a booking by giving reasonable notice. If notice is provided within the period stated at the time of booking, any deposit may be refunded or transferred at our discretion, subject to any non-recoverable costs already incurred. If cancellation is made at short notice, or if our team arrives and cannot complete the work because access is denied or the property is not ready, a cancellation fee or wasted journey charge may be payable. This helps cover time reserved and costs incurred.

If we need to cancel or rearrange an appointment due to circumstances beyond our control, we will contact the customer as soon as reasonably practicable and arrange an alternative date. We are not responsible for losses arising from unavoidable delay where those losses are outside our reasonable control and not caused by our negligence. Examples may include severe weather, transport disruption, supply chain issues, or unexpected equipment failure. Nothing in these terms limits any rights that cannot legally be excluded.

Customers must ensure that someone authorised is present at the property at the agreed time if access is required. If keys are left with us or a third party for convenience, the customer remains responsible for ensuring that access arrangements are lawful and safe. Where we are given a lockbox code, key, or alarm information, we will take reasonable care of it and use it only for the agreed service visit. Any delay caused by access problems may result in additional charges.

Liability and Limitations

If we cause direct loss or damage through proven negligence, our liability will be limited to the reasonable cost of repair or replacement, taking into account age, condition, and fair wear and tear. We are not responsible for pre-existing defects, hidden damage, manufacture faults, colour loss caused by unstable dyes, or deterioration resulting from the item’s age or prior treatment. Customers should understand that some materials are inherently delicate and may react unpredictably to moisture or cleaning products.

We do not accept liability for indirect or consequential losses, including lost income, loss of profit, inconvenience, business interruption, or emotional distress, except where such exclusion is not allowed by law. Nothing in these terms excludes or limits liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or any other liability that cannot be excluded under UK law. Our responsibility is limited to the service we have agreed to provide and the information reasonably supplied to us.

Where a customer believes a problem has arisen after the service, they must notify us within a reasonable period and allow us a fair opportunity to inspect the issue before any third-party repair or alteration is carried out. Claims may be reduced or rejected if the item has been used, cleaned, moved, repaired, or altered by someone else after our visit. We may request photographs, supporting information, or an inspection to assess the matter properly.

Waste Regulations and Environmental Compliance

We aim to operate in line with applicable UK waste, environmental, and cleaning-product regulations. Any waste generated by our service that remains under our control, such as used disposable materials or limited residues from cleaning processes, will be handled responsibly and disposed of in accordance with legal requirements. We seek to minimise waste where practicable by using measured application methods and appropriate product selection. The customer must not ask us to dispose of prohibited materials or hazardous waste unless we have expressly agreed and are legally permitted to do so.

The customer is responsible for ensuring that the premises do not contain dangerous substances, infestations, bodily fluids, sharps, asbestos, or other regulated hazards unless these have been fully disclosed in advance and accepted by us. If we discover material that appears hazardous or unlawful to handle, we may stop work immediately and leave the area safe if possible. Any additional steps needed to manage such material may involve specialist contractors or separate arrangements outside the scope of our carpet cleaning service.

Where wastewater, residues, or packaging are produced as part of the service, we will manage them responsibly and avoid unnecessary environmental harm. Customers must not request disposal methods that would breach local rules, environmental controls, or common safety standards. If a property has restrictions relating to drainage, water discharge, recycling, or waste storage, the customer should inform us beforehand so that we can plan the work accordingly. Compliance with lawful waste handling helps protect both the property and the environment.

Complaints, Force Majeure and Governing Law

We will review the concern in good faith and may offer an inspection, re-clean, partial refund, or other appropriate remedy depending on the circumstances. Raising a complaint promptly improves the chance of resolving the matter efficiently. Complaints made long after the appointment may be harder to assess because conditions may have changed.

We will not be liable for failure or delay in performance where the cause is outside our reasonable control. This may include events such as fire, flood, storm, epidemic, strike, supply shortages, public transport disruption, or acts of government. In such cases, our obligations will be suspended for the duration of the event, and we will take reasonable steps to resume performance as soon as practicable. If the event continues for an extended period, either party may be entitled to cancel the affected booking.

These terms and any dispute or claim arising from them are governed by the laws of England and Wales, or by the laws applicable to the relevant part of the United Kingdom where the service is supplied and where mandatory rules require otherwise. The courts of the appropriate UK jurisdiction shall have exclusive or non-exclusive jurisdiction as required by law. If any part of these terms is found to be invalid or unenforceable, the remaining provisions will continue in full force. The agreement between the parties is limited to the stated service and these terms, and no other terms shall apply unless agreed in writing.
